Crew Timesheet Template
Free crew timesheet template (Excel): many workers on one sheet, auto-totals, a federal 40-hour overtime split, and an optional estimated-pay column. No signup.
How the totals and overtime are computed
Each worker is one row; each day is one column. The sheet sums the day columns into Total hours, then splits Regular and Overtime using the federal 40-hour workweek convention, and — only if you enter an hourly rate — estimates gross pay:
total hours = Σ day hours
regular hours = min(week total, 40) ← per workweek
overtime hours = max(week total − 40, 0) ← per workweek
estimated pay = regular × rate + overtime × rate × 1.5
On the biweekly tab the overtime split is computed for each
of the two workweeks separately and then added — a worker with 45 hours one
week and 35 the next has 5 overtime hours, not 0. Leave the rate blank for an
hours-only sheet: no pay or $0 appears anywhere.
The 40-hour / 1.5× overtime rule is the federal Fair Labor Standards Act convention, shown here as a convenience. Overtime rules vary by state (some have daily overtime or seventh-day premiums) — confirm with your payroll provider. This is payroll prep, not a paystub or a certified payroll filing. Nothing is saved; there is no crew roster, no stored time history, and no clock-in/out. The hours you record here are the raw input for two questions the sheet does not answer: what share of a paid day is actually sold, which the utilization calculator works out from the same numbers, and what an hour of crew time really costs once taxes, insurance and paid time off are loaded on, which is the job of the loaded crew hour calculator. The hours you can bill out of those are billable hours, and when the crew runs out of them the next decision is whether the workload supports another seat: test that in the hiring break-even calculator before you post the job.
