How this is calculated
Every cost is turned into $ per mile and added up. Fuel is
fuel price ÷ MPG. Each annual cost (maintenance, insurance,
payment, depreciation, registration) is divided by your annual miles. Costs
are grouped variable (fuel, maintenance, driver pay — they
rise with miles) versus fixed (insurance, payment,
depreciation, registration — incurred whether you drive or not).
fuel / mi = fuel price / MPG
bucket / mi = annual cost / annual miles
variable / mi = fuel + maintenance + driver pay
fixed / mi = insurance + payment + depreciation + registration
cost / mi = variable + fixed
cost / 100 mi = cost / mi × 100
annual cost = cost / mi × annual miles
billable / mi = cost / mi × (1 + markup%)
trip charge = billable / mi × round-trip miles
The suggested billable rate uses markup on cost
(cost × (1 + markup)), not the margin formula
cost / (1 − margin). The IRS business standard mileage rate for
July 1 – December 31, 2026 (76¢/mi; the rate for the first
half of the year was 72.5¢) is shown as a sanity-check benchmark only. It is
not a figure this tool computes for you, and the printout is a planning
worksheet, not a mileage log.
For the record the IRS does expect, the mileage log template is the printable version of the same journeys. What those miles should be billed at on a single visit is the trip charge and service call calculator, and when fuel moves enough to reprice a whole route, a fuel surcharge is the usual instrument, sized in the fuel surcharge calculator.
The cheapest mile is the one you do not drive, which is why the route density and stops per day calculator treats drive time as the dominant lever on a day's capacity.
